Privacy Policy

Last updated: June 22, 2026

At Fentria Systems LLC, we are committed to protecting the privacy and security of your information. This Privacy Policy explains how we collect, use, disclose, and safeguard your data when you use our VoIP and cloud communication services.

1. Information We Collect

We collect information that you provide directly to us when you sign up for an account, request a quote, contact our support team, or otherwise interact with our services. This may include your name, business name, email address, phone number, billing information, and the details you provide in communications with us.

  • Account information: name, email, company name, and role.
  • Contact details: phone numbers and addresses used for service provisioning and billing.
  • Usage data: call metadata, configuration preferences, and diagnostic information necessary to operate and optimize your service.
  • Technical data: IP addresses, device identifiers, and network telemetry used for security and quality assurance.

2. How We Use Your Information

We use the information we collect to provide, maintain, and improve our voice infrastructure services, to communicate with you about your account, to process transactions, and to protect our platform and users.

  • Provisioning and operating your VoIP services, including call routing and number management.
  • Billing, account administration, and customer support.
  • Monitoring network health, call quality, and security to ensure reliable service.
  • Sending service notifications, updates, and important account communications.
  • Complying with legal obligations and responding to lawful requests.

3. Call Data and Recordings

As a telecommunications provider, we process call detail records (CDRs) and, where you have enabled call recording, the recordings themselves. Call recordings are encrypted at rest and are accessible only to authorized users within your organization. We retain CDRs for the period required by law and for legitimate business purposes such as billing and dispute resolution.

4. Information Sharing and Disclosure

We do not sell your personal information. We share information only as described in this policy or when required by law. We may share data with trusted service providers who perform functions on our behalf (such as hosting, analytics, and payment processing), all of whom are bound by confidentiality obligations.

  • With carriers and interconnect partners as necessary to route and complete your calls.
  • With service providers who support our infrastructure under strict contractual safeguards.
  • When required by law, court order, or regulatory authority, and only to the extent necessary.
  • In connection with a merger, acquisition, or sale of all or part of our business, subject to continued confidentiality.

5. Data Security

We employ industry-standard security measures to protect your information. All signaling is encrypted with TLS 1.3, media streams use SRTP, and call recordings are encrypted at rest. Our infrastructure maintains SOC 2, HIPAA, and PCI compliance certifications. Access to personal data is restricted to authorized personnel who require it to perform their duties.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide our services. We retain certain records, such as call detail records and billing records, for the periods required by applicable law and for legitimate business purposes such as dispute resolution. When data is no longer needed, we securely delete or anonymize it.

7. Your Privacy Rights

Depending on your location, you may have the right to access, correct, delete, or restrict the use of your personal information. You may also have the right to object to certain processing or to request portability of your data. To exercise any of these rights, contact us at care@fentria.com. We will respond in accordance with applicable law.

8. International Data Transfers

Fentria Systems operates a global network with data centers in multiple countries. When we transfer your information across borders, we do so in accordance with applicable data protection laws and using appropriate safeguards such as standard contractual clauses.

9. Cookies and Tracking Technologies

Our website uses cookies and similar technologies to operate the site, remember your preferences, and analyze traffic. You can control cookies through your browser settings, though disabling them may affect site functionality.

10. Children's Privacy

Our services are intended for business use and are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected such information, please contact us and we will promptly delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. For material changes, we will provide a more prominent notice, such as on our website or through direct communication. We encourage you to review this page periodically.
